Automation for home service businesses

Less admin. Faster jobs. Cleaner handoffs.

Automation for home service shops drowning in admin work — so leads get answered, estimates move, and sold jobs reach ops cleanly.

02 · The problem

Every shop has 11 lead sources. None of them talk.

The outcome

Every channel watched. Every job moves.

Lead intake, scheduling, estimates, and ops handoffs running quietly in the background — on the tools you already use.

04 · What we automate

Your day, rebuilt as connected workflows.

How we're built

A service today. Software tomorrow.

We start as a productized automation service with recurring support — fix workflows, learn what repeats across shops, and turn the strongest pieces into software later.

What we automate

Where we start.

Three workflow families that show up in almost every shop we talk to. This is where we'd look first.

01

Workflow design

Map how work moves through the business. Find the bottlenecks between systems, people, and the next step.

02

Scheduling

Booking, confirmations, reminders, dispatch coordination, and the internal handoffs that come with them.

03

Lead intake

Routing inbound leads from websites, forms, ads, calls, and marketplaces so each one lands somewhere a person owns.

Is this for you?

Honest about who Zephlyn fits — and who it doesn't.

A bad-fit pilot wastes everyone's time. So here's the line, drawn before the call.

Built for you if…

  • You run a home-service shop and admin work is starting to slow the business down.
  • You're already on a CRM or field-service tool — ServiceTitan, Jobber, Housecall Pro, or similar.
  • Leads are coming in faster than your team can answer them, and handoffs between sales, scheduling, and ops are getting messy.
  • You want workflows that run on the tools you already pay for — not a new platform to learn.

Not the right fit if…

  • You're under $500k revenue or haven't set up any kind of CRM yet — start there first, we'll be here when you're ready.
  • You want a monthly retainer for ads, content, or paid acquisition. We don't do marketing services.
  • You expect Zephlyn to replace dispatch, your CSRs, or your sales team. Automation makes them better, not redundant.
  • You're pricing-shopping against a $79/mo SaaS subscription. We build custom workflows; we are not a self-serve tool.

Why Zephlyn

Not an agency. Not a SaaS tool. A productized service.

You don't need another dashboard. You need someone who owns the workflows between your existing tools — and keeps them running as your shop changes.

Productized, not bespoke.

We don't reinvent the wheel for every shop. The work is structured enough to ship in weeks — and structured enough that you actually know what you're paying for.

Built on your stack.

ServiceTitan, Jobber, Housecall Pro, your CRM, your forms, your phone system — we connect what you already use. No new platform to learn.

Recurring support.

Month-to-month. As your shop changes, workflows change with it. We maintain what we ship; no project-then-ghost.

Outcome-driven.

Every workflow has a number attached: hours saved, leads recovered, jobs moved through faster, revenue caught. We report on it monthly.

FAQ

Common questions.

How long does a buildout take?
Depends on scope — we'll know after the first conversation. The work starts with mapping what you have today and what's actually slowing the business down, then we agree on what's worth building first.
What if our current process is a mess?
That's a better starting point than you'd think. The first step is mapping what you have — phones, spreadsheets, half-built Zaps, the works — and finding what's worth automating first.
Do we have to switch from ServiceTitan / Jobber / our CRM?
No. Zephlyn connects to what you already run. We don't replace your field-service or CRM platform. We build the workflows between them.
What if our team isn't very technical?
Then this is for you. Workflows run quietly in the background. Your dispatcher sees a cleaner queue. Your techs see correct schedules. No new dashboards to learn.
How is this different from hiring an admin or VA?
An admin reads the form and types into the CRM. We build the system so the form never needs a human to retype it. Then the admin handles judgment calls, not data entry.
What would month-to-month look like if we kept working together?
Fixing workflows when something upstream changes (a CRM update, a new lead source, a new tech). Adding new automations as the shop grows. Checking in regularly on what's actually helping and what isn't.
Do you work with small shops or only enterprise?
We're early — we're talking to shops of a range of sizes right now to figure out where we add the most value. If admin work is slowing the business down, the conversation's worth having.
Which trades do you work with?
HVAC, roofing, plumbing, electrical, restoration, and solar installers. The common pattern is field-service work with office and admin bottlenecks — that's where automation has the clearest payoff.
Are you a SaaS product, an agency, or something else?
A productized automation service with recurring support. We're not selling you a dashboard, and we're not a fully bespoke agency — we fix workflows for one shop at a time, learn what repeats across shops, and plan to turn the strongest pieces into software later.
